Spreadsheets don't lie. But they don't tell the whole truth either — and when your accreditation depends on the data they hold, the difference between a lie and an omission can be the difference between a clean visit and a conditional report.
Every Accreditation Coordinator in Canada knows the spreadsheet. It lives somewhere on a shared drive, maybe in your Downloads folder, maybe in an email from three years ago labelled "FINAL_v7_ACTUAL". It maps your courses to the CEAB Graduate Attributes, tracks which indicators have evidence, and — on good days — tells you roughly where you stand.
The problem is not that spreadsheets are bad tools. The problem is that accreditation is not a spreadsheet problem. It's a connected-data problem. And when you force a three-dimensional structure into a two-dimensional tool, the cost doesn't disappear. It just goes underground.
The Visible Cost: Time
Let's start with the cost everyone can see. Most Accreditation Coordinators spend between 10 and 20 hours per week on spreadsheet management during peak accreditation periods. That's roughly 100 to 200 hours per semester — the equivalent of two to four full-time work weeks consumed by maintaining a tool that was never designed for the job.
Break that down and it looks like this: three hours on Tuesday morning rebuilding a GA mapping tab after a faculty member told you the course code changed. Two hours on Thursday afternoon trying to figure out why your conditional formatting stopped highlighting the red cells. Four hours on Friday manually compiling evidence counts because the pivot table broke when you merged in the new curriculum data.
This is the visible cost. It shows up on your calendar. Your department chair can see it. But it's the tip of the iceberg — and the part you can actually do something about.
The Hidden Cost: Silent Errors
Every spreadsheet-based accreditation process accumulates errors. Not because coordinators are careless, but because spreadsheets reward speed over accuracy. When you're managing 50+ courses, 12 Graduate Attributes, and dozens of indicators, the margin for a miscopied cell, a broken formula, or a misaligned column is enormous.
Here are the errors that happen most often — and the ones that are hardest to find:
- Stale mappings: A course was updated or retired. The spreadsheet still maps it to three indicators. The visiting team asks for evidence from a course that no longer exists.
- Broken references: You moved a tab, renamed a column, or pasted over a range. Now your evidence count for GA 5 says "0" — or worse, says "12" when it should say "3".
- Duplicate evidence: The same exemplar assignment is counted twice because it appeared in two faculty submissions. Your evidence map looks healthy, but the diversity is a fiction.
- Version drift: There are three copies of the spreadsheet on the shared drive. You're working on one. The chair is reviewing another. The third one — from last cycle — is the one that got copied into the self-study report.
These errors are called "hidden" because they don't generate alerts. There's no error message, no notification, no red flag. They just sit there, silently compromising the data that your entire accreditation strategy rests on.
The Cost of Rebuilding
CEAB accreditation runs on a five-year cycle. Most programs treat the spreadsheet as a short-term tool: build it for the self-study, use it for the visit, archive it when it's over. Five years later, the new coordinator starts from scratch.
The cost of this rebuild is rarely accounted for in planning. It typically takes a new coordinator two to three months to reconstruct a functional evidence map from scratch — copying indicator names, re-establishing course mappings, and trying to recover whatever evidence documentation survived in old files. During those two or three months, the program is effectively blind. You don't know where the gaps are because you haven't finished building the tool that would tell you.
This is institutional knowledge loss. The spreadsheet may have the structure, but it doesn't have the context. It doesn't capture why certain evidence was selected, what changed between cycles, or which indicators have historically been the weakest. That context lives in the coordinator's head. When they leave, it leaves with them.
The Faculty Tax
There's another cost that doesn't show up in your hours but shows up in your relationships with faculty. Every time you ask a professor to submit evidence, map a course, or update an indicator, you're imposing what behavioural economists call a "compliance cost" — the effort, time, and friction required to do something you're being asked to do.
When that cost is high — when the faculty member needs to open a spreadsheet, figure out where their course is, understand what an "exemplar" means in your system, and email you a file in the right format — compliance drops. Not because faculty are unwilling to help, but because the process makes it too expensive to participate.
The coordinators who get the best faculty participation don't have better faculty. They have lower-friction processes. A system where a faculty member uploads an assignment and it's automatically connected to the right indicator costs less in faculty time — and therefore gets more participation — than a system where the faculty member needs to understand your spreadsheet structure to contribute.
This is a hidden cost because it doesn't appear as hours lost. It appears as faculty frustration, declining participation rates, and eventually a culture where accreditation is seen as a coordinator's problem rather than a program-wide responsibility.
The Risk Premium
The most expensive cost of spreadsheet accreditation is the one you can't predict: the risk of a gap being discovered during the visit that you didn't know about beforehand.
Here's a scenario that plays out more often than anyone admits. You're two months from a CEAB visit. Your spreadsheet shows 12 Graduate Attributes with evidence across all indicators. You feel prepared. Then a faculty member mentions — casually, in a hallway conversation — that the course you've been relying on for GA 9 evidence changed its assessment model last term. The old exemplar assignments no longer exist.
Your spreadsheet still shows the old data. It has no way of knowing that the evidence it's counting is now fictional. And now you're in damage-control mode: scrambling to find alternative evidence, asking faculty to recreate assignments, hoping the visiting team won't drill down into that indicator.
This is the risk premium of spreadsheet accreditation. It's the cost of not knowing what you don't know. A connected system would have flagged the gap when the course data changed. A spreadsheet waits for a coincidence — a hallway conversation, an email, a phone call — to surface the problem.
What the Cost Adds Up To
Let's try to put a number on this. Not precisely — because hidden costs resist precise measurement — but roughly:
- Coordinator time: 10–20 hours per week during peak periods × 16 weeks per semester × 2 semesters of active prep ≈ 320–640 hours per accreditation cycle
- Rebuild cost per coordinator transition: 2–3 months (80–240 hours) of blind-spot time where the program can't accurately assess its own readiness
- Error detection and correction: 5–10 hours per week of fire-finding (broken formulas, version conflicts, missing data) that would not exist in a connected system
- Faculty compliance drag: Indirect cost of 20–30% lower participation rates due to high-friction submission processes
- Risk premium: Unquantifiable, but potentially catastrophic — a missed gap during a visit can lead to conditions, extended visits, and reputational damage
The total is not a line item you'll find in any budget. But it's real. It's the difference between a coordinator who is managing accreditation and a coordinator who is managing a spreadsheet.
The Alternative: Connected Data
The alternative to spreadsheet accreditation isn't a better spreadsheet. It's a system where the data is connected by design — where courses link to indicators, indicators link to evidence, and changes propagate automatically through the entire map.
