This evidence already exists inside your course files. The problem is not a shortage of evidence — it is a shortage of accessible evidence. Canadian engineering programs vary widely in how they define a "course file." Some institutions require a formal course file for every offering. Others leave it to the instructor's discretion. But for accreditation purposes, every course file should contain a minimum set of documents. Here is what the CEAB visiting team expects to see when they ask for course-level evidence:

The Dual-Purpose Course File
Here is the mental shift that makes everything easier: your course file is your accreditation evidence file. The documents you maintain for teaching quality are the same documents the CEAB visiting team reviews. You do not need two systems.
Most programs fail at this because the course file is treated as a teaching document and the accreditation evidence is assembled separately during self-study season. The result is duplication: the coordinator extracts evidence from course files, reorganizes it into an evidence folder, and the original course file sits untouched until the next offering.
The dual-purpose approach works like this:
Step 1: Tag every document with its graduate attribute mapping
When the instructor writes the course syllabus, each course learning outcome should reference the graduate attribute(s) it addresses. This is not a self-study task — it is a syllabus task. The CEAB criteria require that programs demonstrate how each graduate attribute is addressed across the curriculum. The syllabus is where that mapping lives.

Step 2: Standardize the course file template
Create a course file template that includes sections for all six document types above. Every instructor, every course, every year uses the same template. This eliminates the "what goes in a course file?" question and ensures that evidence is complete regardless of who teaches the course.
The template should have these sections:
- Course information — code, name, level, credits, term, instructor
- Course syllabus — with explicit GA mapping for each learning outcome
- Assessment plan — rubrics, weightings, alignment to outcomes
- Evidence archive — anonymized student work samples, one per assessment
- Results and trends — grade distributions, outcome achievement rates, year-over-year comparison
- Continuous improvement log — what changed, why, what was the result
Step 3: Make the template available in your LMS or shared drive
If course files live on individual instructors' desktops, they are inaccessible. Put the template in a shared location — your LMS, a departmental shared drive, or a dedicated accreditation platform. The key is that the coordinator (and the visiting team) can find it without asking the instructor.
Step 4: Update it every offering, not every six years
This is where most programs break. The course file is updated for the accreditation visit, then sits stale for five years. The next visiting team sees evidence from 2019 for a course that has changed significantly since then. The solution is simple but requires discipline: update the course file every time the course is offered. The incremental work is small — fifteen minutes at the end of the term to add results and CI notes. Over six years, those fifteen-minute updates accumulate into a current, credible evidence file.

What Visiting Teams Notice About Course Files
We have collected observations from CEAB visiting team members about course file quality. Here are the patterns that come up repeatedly:
"The syllabus tells us everything." A syllabus that maps learning outcomes to graduate attributes, lists assessment methods that can produce valid evidence, and states clear grading criteria signals a well-managed course. A syllabus that lists outcomes without GA mapping, or assessment methods that cannot measure the stated outcomes, raises immediate questions. The visiting team will follow up with faculty interviews, and the answers rarely improve on what the syllabus already shows.
"We look for the CI loop first." Before examining assessment results, visiting teams check whether the course has a continuous improvement record. A course with perfect grades but no CI record is more suspicious than a course with mediocre grades and a clear improvement cycle. The CEAB does not require high marks — it requires a system that notices problems and fixes them.
"Student work samples should be typical, not exceptional." Visiting teams can spot cherry-picked evidence. If every work sample is an A-grade paper, they will ask to see the range. Programs that include one strong, one average, and one below-standard sample (all anonymized) come across as honest and confident. Programs that only show the best work invite skepticism.
"Currency matters more than quantity." A course file with three years of current evidence is more valuable than one with ten years of stale data. The Spreadsheet Trap
Many programs track course files using a spreadsheet: one row per course, columns for syllabus status, GA mapping status, evidence currency, and CI record status. The spreadsheet tells the coordinator what is missing, but it does not hold the evidence itself. The coordinator still has to locate the actual documents when the visiting team asks for them.
This is the spreadsheet trap: you are managing metadata about evidence without managing the evidence. The result is a clean tracker and a chaotic file system. When the visiting team says "show us the evidence for GA 5 in ENGR 301," the coordinator checks the spreadsheet, sees "complete," and then spends twenty minutes finding the actual documents.

Five Mistakes That Derail Course File Management
Based on patterns we see across programs, these are the most common failures:
1. The coordinator owns everything. When one person is responsible for collecting, organizing, and updating all course evidence, the system depends on that person's availability. If they leave, the evidence follows. The fix: make course file maintenance the instructor's responsibility, with the coordinator providing the template and checking completion at term end.
2. Course files are created for the visit, not for teaching. Evidence assembled six weeks before a visit looks curated, not lived-in. The visiting team can tell. Dates do not line up. Documents reference each other inconsistently. The fix: maintain course files continuously. The dual-purpose template makes this incremental, not episodic.
3. No standard template. When every instructor creates their own course file structure, the coordinator has to reverse-engineer each one to extract accreditation-relevant information. The fix: one template, used by everyone, updated every offering.
4. Evidence is not anonymized. Student work samples must be anonymous. Names, student numbers, and identifying information must be removed before the evidence enters the accreditation file. This is both a privacy requirement (FERIPPA / PIPEDA) and an accreditation best practice. The fix: build anonymization into the course file template — a dedicated section for work samples with a reminder to remove identifiers.
5. No link to the bigger picture. A course file that stands alone does not show how the course contributes to the program. The visiting team needs to see the connection between course-level outcomes and program-level graduate attributes. The fix: every course learning outcome in the syllabus should reference the graduate attribute(s) it addresses. A Practical Starting Point: The One-Term Pilot
You do not need to overhaul every course file at once. Start with one course — ideally one that will be taught again in the next term, so you can test the template with a real cycle.
