The CEAB faculty licensure consultation has closed. The proposed criteria changes are moving through review. Whatever the final decision looks like, the direction is clear: engineering accreditation is shifting toward outcome-based evidence, and the coordinators who prepare now will find the transition manageable. The ones who wait will find it urgent.
This is the actionable companion to our earlier post on how programs are responding. That post described what programs are doing. This one tells you exactly what to check, in what order, and how to prioritize when everything seems important.
Here is your CEAB evidence map checklist — five audit areas, practical next steps, and a prioritization framework for the work ahead.
Why Prepare Before the Criteria Are Final?
The proposed changes won't take effect in your next cycle. Realistically, you have 18 to 36 months before the first self-study under revised criteria. That sounds like plenty of time.
But preparation is not a linear process. The work that takes the longest — auditing what evidence you have, discovering gaps, building tracking infrastructure, and training faculty to contribute — is the work you can only do gradually. The work that takes the shortest time — reformatting spreadsheets to match new criteria labels — is the work everyone can do in a week.
The coordinators who start with the hard work now will finish with the easy work later. The coordinators who wait will face the hard work during self-study season, when every hour counts.
Audit 1: Courses-to-Graduate-Attributes Mapping Completeness
The question: Does every course in your program have documented contributions to every graduate attribute that applies?
CEAB expects a curriculum map showing how each course contributes to each graduate attribute (GA). The current criteria use Specific AU counts to enforce coverage. The proposed criteria shift toward assessing whether licensed faculty are meaningfully involved in delivering those attributes — which requires richer evidence than an AU tally.
What to check now:
- Open your curriculum map. For each course-GA intersection, is there evidence beyond a checkbox? A course outline excerpt, assessment rubric, or faculty narrative that explains how the course develops that attribute?
- Identify the thinnest areas. Which GAs have the weakest course coverage? Which courses have the fewest documented GA contributions?
- Flag gaps where only one or two courses address a GA. The new criteria will likely require more distributed evidence across the curriculum.
Quick win: Courses where you already have detailed outlines and assessment rubrics need only a connection — linking the existing evidence to the GA. Courses where the connection exists only in the instructor's head need a documentation conversation before the semester starts.
Audit 2: Indicator Coverage and Depth
The question: For each GA, do you have multiple indicators with multiple pieces of evidence across multiple courses?
CEAB's indicator structure sits between graduate attributes and individual pieces of evidence. A strong indicator has evidence from at least three courses, uses more than one assessment type (exam, project, lab report, peer assessment), and shows a trend over time — not just a single snapshot.
What to check now:
- List each indicator. Count how many courses contribute evidence, how many evidence items exist per course, and whether the evidence spans different assessment types.
- Identify indicators with fewer than three contributing courses. These are the ones that attract scrutiny during a visit.
- Check evidence recency. Evidence older than two academic years loses its persuasiveness. Do you have current data, or are you relying on a snapshot from the last cycle?
Longer-term fix: Building continuous evidence collection into course design so that every assessment produces accreditation-relevant data automatically. This takes a semester of planning and faculty buy-in — but once established, it eliminates the evidence gap problem permanently.
Audit 3: Faculty Evidence Tagging and Contribution Tracking
The question: Can you show exactly how each faculty member — licensed or not — contributes to evidence for specific indicators and graduate attributes?
This is the audit area most directly affected by the proposed faculty licensure changes. The current criteria count licensed faculty AUs. The proposed criteria assess meaningful involvement of licensed engineers with student learning. That shift changes what you need to track: not who is licensed, but how licensed faculty engage with outcomes.
What to check now:
- For each licensed faculty member, can you trace their contributions to specific indicators and GAs? Not just which courses they teach, but what assessments they design, what feedback they give, what learning outcomes they influence?
- Identify licensed faculty whose contributions are invisible in your current tracking — co-supervisors, lab instructors, capstone mentors, industry partnership coordinators.
- Assess whether your evidence captures the quality of licensed engagement or just the quantity of contact hours.
Quick win: A structured email to each licensed faculty member asking them to document their contributions beyond lecture delivery. A simple template — course, assessment type, GA addressed, nature of licensed contribution — yields usable data in a week.
Longer-term fix: An evidence platform that connects faculty profiles to courses to assessments to indicators, so that contribution tracking is continuous and auditable, not a manual exercise before every cycle.
Audit 4: Historical Data Accessibility
The question: If your coordinator leaves tomorrow, can someone else access and understand the evidence from the last cycle?
This is not about the upcoming criteria changes. It's about institutional resilience. Accreditation spans six-year cycles. Coordinators leave. Faculty move between departments. Spreadsheets get versioned, renamed, and lost.
What to check now:
- Where does the evidence from your last self-study live? Is it in one shared location with clear naming conventions, or scattered across personal drives, departmental folders, and email attachments?
- Is there a living record of what changed between the last cycle and now? Curriculum updates, new courses, retired courses, indicator adjustments?
- Can a new coordinator pick up the evidence map in September and understand the state of the program without three weeks of onboarding?
Quick win: Archive last cycle's evidence in a clearly named, shared location with a one-page index explaining the file structure. It takes an afternoon and prevents a future crisis.
Longer-term fix: Moving evidence from files to a connected platform where historical data is searchable, traceable, and inherited automatically when personnel change. This is the difference between institutional knowledge and personal knowledge.
Audit 5: Reporting Workflows
The question: How long does it take to produce a gap report, a faculty contribution summary, or a curriculum coverage dashboard?
Reporting is where accreditation preparation meets reality. Your associate dean will ask for a readiness status. Your chair will want to know which areas need faculty attention. The visiting team will expect organized evidence on demand. If producing any of these reports takes days of spreadsheet manipulation, you have a workflow problem.
What to check now:
- Time yourself. How long does it take to answer: "Which GAs have fewer than three courses contributing evidence?" or "Which licensed faculty are not contributing to any indicator this year?"
- If the answer is "open three spreadsheets and cross-reference manually," that's a workflow bottleneck. If it's "run a filter and export," you're in good shape.
- Assess whether your reporting is reactive (you build it when someone asks) or proactive (you have a standing dashboard that answers common questions).
Quick win: Identify the three most common questions your leadership asks about accreditation readiness. Build a simple template or query that answers each one. Even a well-structured spreadsheet with pivot tables beats a flat grid.
Longer-term fix: A platform where gap reports, coverage summaries, and faculty contribution dashboards are generated from live data — no manual compilation, no version drift, no "which spreadsheet is the latest?" problem.
Prioritization Framework: What to Do First
Five audits, ten recommended actions, and a summer that is already half gone. Not everything deserves equal attention right now. Here's a simple framework for prioritizing.
Rate each audit area on two dimensions:
- Urgency — How directly is this area affected by the proposed criteria changes?
- Effort — How much work does fixing it require?
High urgency, low effort — do these first:
- Faculty evidence tagging (Audit 3) — directly impacted by licensure changes, and the quick wins are genuinely quick. A structured faculty survey yields data in a week.
- Historical data archiving (Audit 4) — one afternoon of file organization prevents future crises. Low effort, high resilience payoff.
High urgency, high effort — plan these for the semester:
- Courses-to-GA mapping completeness (Audit 1) — the foundation of everything. Requires curriculum committee engagement and faculty documentation. Worth starting the conversation now.
- Indicator coverage and depth (Audit 2) — the evidence quality that determines whether a program receives "areas of concern." Continuous improvement takes time, but identifying the weakest indicators is a good summer exercise.
Lower urgency, lower effort — good maintenance:
- Reporting workflows (Audit 5) — important for ongoing management, but less directly tied to criteria changes. Fix the three most common reports this summer; build a standing dashboard plan for the fall.
The rule of thumb: do the quick wins in the next two weeks. Plan the big work for the start of the academic year, when faculty are back and curriculum committees are active.
A Note on Tools
We wrote this checklist to be useful regardless of what system you use. Spreadsheets, LMS exports, shared drives — the audit questions apply to every approach.
That said, the effort required for each audit item is directly proportional to how connected your data is. In a spreadsheet world, every audit item is a manual cross-reference exercise. In a connected evidence map, most audit items are a filter, a view, or a report.
If you're evaluating whether to invest in purpose-built accreditation software, use this checklist as a requirements test. Ask any vendor: "Can your platform answer each of these five audit questions without manual work?" The ones that can are solving the real problem. The ones that can't are just prettier spreadsheets.
