The evidence exists somewhere — in a course file, an old email, a shared drive nobody has opened since last cycle — but you cannot find it fast enough. The team notes the gap. Your program receives an area of concern.
This scenario is so common that visiting teams have a name for it. They call it an “evidence gap.” You can call it whatever you want. The result is the same.
The solution is not to work harder during self-study season. It is to do a systematic gap analysis before the scramble starts. Find the weak spots yourself, on your own timeline, while you still have time to fix them.
Here is how to run an accreditation gap analysis that actually works.
What Is an Accreditation Gap Analysis?
An accreditation gap analysis is a structured review of your program’s evidence against every criterion, graduate attribute, and indicator that the visiting team will examine. The goal is simple: identify where your evidence is strong, where it is thin, and where it is missing entirely.
Think of it as a self-inspection. You are the visiting team. You are asking the questions they will ask, and checking whether the answers you have on file would satisfy them.
The gap analysis is not a one-time event. It is an ongoing practice. Programs that run a lightweight gap review each semester stay in a state of continuous readiness. Programs that wait until 18 months before the visit face a discovery process that is always more stressful and always less thorough.
The Five Audit Areas Every Gap Analysis Must Cover
A thorough gap analysis examines five areas. They correspond to the sections of a CEAB self-study report, but the focus is narrower. You are not writing the report yet. You are checking whether you have the material to write it.
1. Graduate Attribute Coverage
Map every CEAB Graduate Attribute to the courses that address it. Check that each attribute has at least three courses providing measurable evidence, not just an “introduced” or “reinforced” label.
The common gap: Attributes G7 (professional practice) and G8 (teamwork) are the most frequently under-mapped attributes. Programs assume these are covered by capstone and group projects without documenting the specific assessment methods. The visiting team will ask for evidence, not assumptions.
2. Indicator-to-Course Mapping
For each Graduate Attribute, identify the specific course indicators that measure it. Verify that every indicator has at least one exemplar piece of evidence linked to it: a rubric, an assessment description, a sample assignment, or a faculty statement explaining how the outcome is measured.
The common gap: Indicators in second-year courses are the weakest area. Faculty in upper-year courses tend to be more accreditation-aware. First- and second-year teaching staff often have no idea that their courses feed into the accreditation evidence map.
3. Evidence Recency and Quality
Check the date of your strongest evidence for each indicator. CEAB visiting teams generally expect evidence from the most recent three-year window. Evidence from five years ago may show historical context, but it does not prove current practice.
The common gap: Programs have excellent evidence from the last cycle that never got refreshed. A rubric from 2020 is not evidence of what you do in 2026. Refresh the exemplars, update the dates, and you turn stale evidence into current evidence.
4. Continuous Improvement Documentation
This is consistently the weakest section of CEAB self-studies. Not because programs do not improve, but because the documentation trail does not prove it. For each improvement you claim, check that you can trace the full loop: assessment data led to a specific change, the change was implemented, and the results were re-measured.

5. Faculty Involvement and Data Completeness
CEAB Criterion B7 and B8 require licensed faculty involvement in curriculum design and evaluation. Audit your faculty records: are licensure statuses current? Do the courses with the heaviest GA coverage have licensed faculty teaching them? Can you show that faculty review and update their course outlines each term?
The common gap: Faculty data goes stale between cycles. A P.Eng. status from six years ago may not reflect current standing. A visiting team will ask, and if your data is old, the answer looks like neglect, not an oversight.
The Gap Scoring Method: A Simple Framework
You do not need a sophisticated tool to start a gap analysis. A simple three-tier scoring system works well:
- Green (Ready)
- Three or more exemplars, current within two years, clearly mapped to the indicator. No action needed except routine maintenance.
- Amber (At Risk)
- One or two exemplars, or evidence older than two years, or mapping exists but is thin. Needs attention within the next six months.
- Red (Gap)
- No exemplars, no mapping, or evidence from the previous cycle with no refresh. Must be addressed before self-study begins.
Score every Graduate Attribute across every course. You will end up with a heat map of your program’s accreditation readiness. The red cells tell you where to focus first. The amber cells tell you what to plan for. The green cells tell you what you can stop worrying about.
Why Spreadsheets Make Gap Analysis Harder Than It Should Be
Here is the irony: the gap analysis is conceptually simple, but practically difficult. In a spreadsheet, your graduate attributes are in one tab. Your course-to-indicator mapping is in another. Your evidence files are on a shared drive. Your faculty data is in a third spreadsheet that nobody updates.
To score one indicator, you need to cross-reference three different files. To score all of them, you need the memory of a supercomputer and the patience of a saint.

Beyond finding individual evidence gaps, the analysis tells you something about how your program operates. Patterns in the gaps are more revealing than any single gap:
- Gaps concentrated in one department signal a faculty engagement problem. That department may need a dedicated briefing, a coordinator visit, or a change in how evidence requests are communicated.
- Gaps in evidence recency across the board signal a maintenance problem. Your system works for collection but not for refresh. You need a process that flags stale evidence before it becomes a gap.
- Gaps in continuous improvement signal a documentation problem. The improvements are happening, but nobody is writing them down. An improvement log template, shared with the team, solves this.
- Gaps that persist across cycles signal a structural problem. If the same indicators are red every time, the curriculum or assessment design needs to change, not just the evidence file.
The gap analysis is not just about finding missing files. It is about understanding how your program creates, captures, and maintains the evidence of its own quality.
